Shopify KPI Dashboard: Analytics, CSV, Google Sheets and Looker Studio

Direct answer: before installing a reporting app, I start with Shopify Analytics. Shopify's native dashboard and reports cover many sales and operational metrics. If an external model is needed, data can then be exported to a spreadsheet or prepared for Looker Studio.
What Shopify Analytics already provides
The Analytics area in Shopify Admin provides sales, session and fulfillment metrics and lets merchants customize dashboards and reports. Reports can be filtered, modified and exported for further analysis. Capabilities evolve over time and some advanced features depend on the plan, so I always inspect the real admin before building a parallel system.
When Shopify's dashboard is enough
For sales trends, orders, products and many operational metrics, the native dashboard can be sufficient. I do not build a second system simply because it produces prettier charts. An external dashboard makes sense when I need to combine data Shopify does not own or apply business-specific calculation logic.
CSV exports
Shopify reports can be exported and analyzed in spreadsheet software. Orders, products and customers also have their own export flows. CSV is a good solution when updates can be manual or periodic and a real-time pipeline is unnecessary.
Google Sheets
Google Sheets is useful for calculations, reconciliation and relatively small models. I do not treat it as a universal database or the store's source of truth. If volume grows or several processes need to write to the same data, I choose a more appropriate structure.
Looker Studio
Looker Studio can use Google Sheets as a data source and turn prepared data into shareable dashboards. It is especially useful when multiple sources need to be combined or management-specific views are required.
Automation through APIs
If manual exports are not enough, an integration can read data through Shopify APIs. This requires authentication, secure credential handling, throttling, error management and maintenance. I do not call it a “free” solution simply because there is no SaaS subscription.
When this logic becomes stable and reusable, the right layer can be a Shopify app or dedicated backend service, not an improvised script inside the theme.
Which KPIs I choose
I do not start from a universal list. I select metrics tied to merchant decisions: net sales, orders, average order value, returns, contribution margin when cost data exists, new customers, repeat purchasing and channel performance when attribution is sufficiently reliable.
Metrics such as customer acquisition cost or lifetime value cannot be calculated correctly when advertising costs, product costs or a consistent observation period are missing.
Analytics apps and storefront performance
I do not treat every reporting app as a frontend problem. Some operate mainly in Admin and load nothing significant on the storefront; others add tracking or scripts. Before blaming an app for a slowdown I verify what actually loads on public pages.
Privacy and data
Moving data to Google Sheets, Looker Studio or another service creates another data destination. Tool choice does not remove the merchant's privacy obligations: access, retention, minimization and legal basis should be assessed against the actual flow.
