Shopify Returns and Withdrawal: Operational Flow and EU Rules to Verify

Direct answer: for a Shopify merchant, the returns process should separate three stages: exercising the right of withdrawal, the physical return of the product and the refund. In the EU, the right of withdrawal for many distance contracts is normally 14 days, subject to statutory exceptions. Timing, costs and conditions should be communicated clearly before purchase.
Withdrawal and return are not the same thing
Withdrawal is the declaration through which the consumer exercises the right where applicable. The return is the logistics flow through which the product comes back. The refund is the financial transaction. Treating all three as one status makes it harder to understand what has been requested and what remains to be done.
The workflow I configure
- Receive the request with a reference to the order.
- Verify the applicable scope and any exceptions.
- Provide return instructions when required.
- Track shipment and receipt of the product.
- Perform the operational return check.
- Process the refund using the applicable method and timing.
- Close and retain the case record.
Refund timing: pay attention to when the clock starts
EU rules contain specific reimbursement timing and, for goods, allow reimbursement to be withheld in certain conditions until the goods are received or evidence of shipment is supplied. I do not reduce this rule to “14 days from receiving the returned product”, because that can be legally inaccurate. Policy and procedure should be aligned to the specific case.
Shopify as the operating system
Shopify lets merchants manage orders, returns and refunds from Admin. At higher volumes, a portal or app can be useful for collecting requests, reasons, statuses and labels. I do not present RMA as a legal requirement: it is an operational tool.
From June 19, 2026: online withdrawal function
For applicable distance contracts concluded through an online interface, Article 54-bis of the Italian Consumer Code introduces a dedicated online withdrawal function. I cover the requirement in EU Online Withdrawal Function on Shopify.
Policy and product content
Good returns management starts before the order: product characteristics, dimensions, compatibility, shipping and withdrawal conditions should be understandable. Reducing ambiguity can reduce avoidable requests, but I do not promise predetermined return or conversion percentages.
